Choosing a Business Phone System: 12 Questions to Ask Before You Sign
A practical checklist for comparing business phone providers: setup, number portability, 911, texting rules, contracts, and what 'unlimited' leaves out.
Most provider websites promise the same things: simple, reliable, transparent. The differences show up later — in the contract, in the first configuration change you need, and in the support call three months in. These are the questions worth asking every provider before you sign, and what a good answer looks like.
Setup and day-to-day changes
1. What happens, step by step, between paying and the first working call? A good answer names concrete steps and who does each one. Vague answers usually mean you'll find out the steps yourself.
2. Do desk phones arrive ready to use? Ask whether phones are auto-provisioned — you plug them in and they download their settings — or whether someone has to type SIP settings into each one. Without an IT person, that's the difference between minutes and an afternoon.
3. Can I change call routing myself? Business hours change, people leave, a holiday comes up. Check that you can edit queues, menus and schedules in a dashboard, without opening a ticket.
4. Can my team answer from their cell phones? Ask whether there's a mobile app that rings with the business number — and whether it rings when the app is closed.
Your number
5. Can you port my current numbers, and who does the work? Under FCC rules, interconnected VoIP providers must facilitate valid port requests, and your old provider can't refuse because you owe a balance. Ask who files the request and what information they need from you.
6. Will you release my number if I leave? The same rules protect you on the way out. A reputable provider says so plainly.
911
7. How do 911 calls get my address? For multi-line systems, federal rules (Kari's Law and the RAY BAUM'S Act, codified in 47 CFR § 9.16) require that users can dial 911 directly — no "9" first — that the system can notify someone on site, and that a dispatchable location is sent with the call. Ask how addresses are registered per location, what happens with phones that move, and what you have to keep up to date.
Texting
8. Is SMS included, and who handles A2P 10DLC registration? If you'll send reminders or notifications by text, US carriers expect your business to be registered (brand and campaign) and your opt-outs to work. Ask what the provider handles and what's on you. Our 10DLC explainer covers the details.
Price and contract
9. What does "unlimited" exclude? Usually international calls, and often texting. Ask whether phone numbers, call recording, voicemail-to-email and the auto-attendant cost extra.
10. Is there a minimum term or an early-termination fee? Month-to-month should mean you can cancel without a penalty at the end of a billing period.
11. How does the price change when the team grows or shrinks? Look for per-user pricing that recalculates automatically, and check what happens mid-cycle.
12. Is there a trial, and when does it start? A trial that starts on the day you pay loses its first week to shipping and setup. Ask when the clock actually starts.
